BarStock / Ordering & receiving

The order, already written.

BarStock knows how fast each bottle goes, what’s on the shelf, what’s already on the way, and when each distributor needs the order. Open the order builder and it’s mostly done.

  • One order per distributor, with the order cutoff counting down (“order by Tue 4 PM, 23h left”).
  • Suggested quantities cover until the next delivery after this one, rounded to cases when you buy by the case.
  • Sent by email or text to the distributor or your rep, with sizes and deal notes on every line.

Pars that follow the bar

Pars from what you actually pour

Every bottle’s usage comes from sales when you have them, or from what the bar pulls from storage and what counts find when you don’t. Pars follow it, with a cushion sized to how much each bottle swings.

  • Velocity: the last week against the four before. A real change moves the order; one odd week can’t blow it up.
  • Season ahead: with a year of POS history, BarStock flags the bottles that get busier in the weeks coming up.
  • Below par in one click from the dashboard, worst first.

Recent weeks (amber) run above the month before, so the order goes up, within a cap.

Buying smart

Deals, combos and case breaks, in the math

Distributors price in tiers and combos. BarStock carries them on the item, so the order shows when one more case reaches a better price, and what splitting a case really costs.

  • Price tiers (“2+ cases at $44”) and buy X get Y free, with start and end dates.
  • Case-break fees per distributor and bottle size, added to the true cost of a loose bottle.
  • Last deal remembered: if the last invoice had a discount, the next order asks the rep for it again.

Is one more case worth it? · example

BuyPer bottleTotal
1 case (6)$48.00$288.00
2 cases (12)$44.00$528.00deal
8 loose$49.50$396.00incl. break fee

The second case saves $4 a bottle and covers the next 3 weeks at this bar’s pace.

Receiving

Snap the invoice. That’s receiving.

Take a photo of the delivery invoice. BarStock reads the lines and matches each one to your bottles by item number, barcode or name. You check the counts and sign.

  • The true cost per bottle: free goods and case-break fees spread in, deposits kept apart.
  • Credits, shorts and backorders logged, and a backorder clears itself when a later invoice delivers it.
  • Matched to the purchase order, so the same bottles never count twice.
  • Empty kegs tracked with a reminder to put them out on delivery day, so the deposit comes back.
